The Client Billing Specialist is responsible for processing and posting all statements as well as all matters surrounding the billing and accounts receivable functions for the Finance Department.
Typical schedule is M-F 830 -5pm, with the exception of Thursday which is an evening shift.
An occasional weekend day (Sat or Sun) may be necessary to accommodate month end book closing if it falls on that day.
ESSENTIAL FUNCTIONS Generates FACS statements scheduled for daily, weekly, bi-weekly, monthly and special occasions.
Processes all FACS invoices, matching paper invoices and checks and delivering them to the mailroom to be mailed.
Handles special assignments for client accounts with special handling requirements.
Completes all daily must-do routines such as, but not limited to, daily wire submissions to Banking, cutting manual check and special overnight mail to clients as needed.
Balances and releases Payment Out files (PO) on a daily basis as needed.
Manually posts client and debtor cash receipts to the FACS system as needed.
Files and archives statement-related materials on a daily basis including physically handling paper documents temporarily filing the paper documents, organizing, scanning and archiving in appropriate computer file, and maintaining the archived computer files.
Verifies and validates custom Excel invoices and delivery to clients via email, Gateway or Client Portal.
Performs monthly Hold and Funds held in Trust reports.
Performs other projects and tasks assigned by the manager.
QUALIFICATIONS 3
years of accounting experience needed.
Working knowledge of accounting software is preferred.
Working knowledge of FACS, hands-on experience and ability to run reports is preferred.
Working experience with logic blocks and ability to design report writers in FACS preferred.
Working experience with Bottomline software is preferred.
Proficient in using PC, and working knowledge of Outlook, Excel & Word.
Prior work experience in a high-volume and fast pace environment.
Ability to maintain flexible schedule for running statements and other tasks.
Ability to maintain strict deadlines & schedules.
Ability to perform simultaneous task and use sound judgement.
High level of attention to detail and accuracy.
Desire to learn specialized tasks and projects related to daily work.
This position requires schedule flexibility as listed below:
Availability to work between 4:
30-8:
30pm on weekdays as needed.
Availability for work late evening for statements on Thursdays and month-ends, in-office or remote.
Availability to work on weekends for statements if month-end falls on the weekend.
EDUCATIONAL REQUIREMENTS Associate Degree in accounting with work related experience preferred.
